Refund Policy

1. Overview

This Refund Policy explains when and how you may request a refund for services, subscriptions, or projects purchased from Zynapte Technologies Private Limited (“Zynapte,” “we,” “us,” or “our”). We strive for complete customer satisfaction, but we must also ensure fairness, transparency, and compliance with commercial and tax regulations.

By engaging with Zynapte’s products or services, you agree to this policy and the terms described herein.

2. SaaS Applications & Subscription Services

All SaaS-based products (e.g., CRM platforms, RxHive Healthcare Suite, web hosting, analytics dashboards) operate on a 100% prepaid model.

• No automatic refunds are issued after activation or renewal of a subscription.
• New users may request a refund within 7 calendar days of the initial subscription if no major customization or data migration has occurred.
• Annual plan cancellations before the halfway point of the term may be eligible for a pro-rated refund, subject to deduction of setup and administrative costs.
• Refunds are not issued for unused or partial months once a billing cycle has begun.
• Renewals are non-refundable after activation, as hosting and licenses are provisioned immediately.

3. Project-Based & Custom Services

Refund eligibility depends on the stage of work and the extent of completion. Because our services involve significant resource planning, development time, and third-party costs, partial refunds are subject to fair-use deductions.

3.1 Website / App Development

• Full refund if cancellation occurs before project initiation.
• 80% refund if cancelled before first design approval.
• 50% refund if cancelled before development begins.
• No refund after development or deployment begins.

3.2 CRM & Cloud Migration

• Full refund before data migration starts.
• Once migration, setup, or DNS updates are completed, no refund is possible.
• GST, licensing, and platform fees are strictly non-refundable.

3.3 Digital Marketing & SEO

• Full refund if cancelled before campaign creation or ad setup.
• No refund once ad campaigns or paid placements go live.
• Unused third-party ad credit or wallet balance remains refundable upon verification.

3.4 Annual Maintenance / Support

• Pro-rated refunds may be considered only if cancellation occurs before 50% of the contract term is completed.
• No refund for unused tickets or partial service months.

4. Startup & Promotional Packages

• Full refund within 48 hours of purchase, provided no domain or hosting has been registered.
• No refund after domain registration, licensing, or deployment begins.
• Service credits (not cash refunds) may be offered for partial progress work.

5. Refund Process & Timelines

1. Submit your request via email to [email protected].
2. Include your invoice number, registered email, and reason for refund.
3. Attach screenshots or documentation supporting your claim (if applicable).
4. Our billing team will review within 5–7 business days.
5. Approved refunds are processed within 7–10 business days via bank transfer or the original payment method.

Transaction and gateway fees, where applicable, are non-refundable.

6. Non-Refundable Items

• GST and government-imposed taxes
• Licensing and subscription fees paid to third-party vendors
• Completed or delivered milestones
• Custom development and code handover
• Ad spends already used on third-party platforms
• Force majeure circumstances beyond Zynapte’s control

7. Legal Rights & Dispute Resolution

All refund disputes shall be handled in accordance with Indian law. The courts at Kolkata, West Bengal shall have exclusive jurisdiction over any refund-related claims or disagreements. Zynapte reserves the right to reject fraudulent or repetitive refund requests.
